How to fix overflowing text in a translated PDF

Translation may have a different length than the original sentence. In a fixed PDF layout, it may exceed the block, overlap an image or not fit into a table. Overflow is not a sign of incorrect translation meaning, but it indicates the need for layout verification.

Step by step

  1. First translate one page and look for blocks with overflow warnings.
  2. Compare the sentence with the original and verify that OCR or translation did not add nonsensical content.
  3. If the text makes sense, try appropriately adjusting its size and position with available tools.
  4. If it is necessary to shorten the sentence, keep its meaning and essential information.
  5. Export a test PDF and check the edges, tables and adjacent lines both inside and outside the editor.

The Most Sensitive Are Tables and Narrow Columns

A short original description may be extended to several words in the target language. In a table, check whether the text does not interfere with the adjacent cell and whether it is still clear which value it belongs to.

Do Not Reduce Font Size Without Limitations

Although very small font size can remove overflow, it can reduce readability. If the document is intended for printing or reading on a phone, verify the actual size. For extensive changes, it may be more practical to edit the original source document.

Layout and Accuracy of Translation Are Two Checks

Text may look good but have incorrect meaning, just as a correct translation may overflow. Check the language, numbers and visual arrangement separately. For important documents, ensure professional review.
